DESCRIPTION

A Personal Assistant (PA) for a CEO in the real estate industry has the main responsibility to support the CEO with daily tasks so that he or she can focus on strategic and business decisions.
The role includes managing the agenda, organizing travel plans, handling communications, taking minutes at meetings, managing confidential information and providing administrative and operational     support.


The PA acts as the CEO's right hand, where flexibility, organizational skills and confidentiality are of great importance to ensure the CEO's efficiency and effectiveness.

AREAS OF RESPONSIBILITY

As the right hand of the CEO of ERA Wonen, you are responsible for the following matters:

  • Agenda management of the CEO
  • Correspondence on behalf of the CEO, setting priorities and handling urgent matters.
  • Travel Planning: Responsible for organizing travel arrangements, including flights, accommodations and transportation, to ensure the CEO arrives at destinations in a timely manner.
  • File Management: Keeps important documents and files organized and provides access to relevant information when needed.
  • Prepares meetings, draws up the agenda, takes minutes during meetings and follows up on action points.
  • Handles confidential information with the utmost discretion and integrity.
  • Acts as a link between the CEO and other employees, customers and partners, ensuring smooth and clear communication.
  • Provides support on ongoing projects, including research, reporting and coordination of tasks.
  • Performs administrative tasks such as processing expenses, maintaining contact lists, and managing office supplies.
  • Adapts quickly to changing circumstances, is able to perform multiple tasks simultaneously and is ready to address ad hoc requests from the CEO.

Requirements

  • The ability to efficiently manage and structure complex agendas, travel plans and documentation.
  • A high level of integrity and the ability to handle confidential information with the utmost discretion.
  • Strong oral and written communication skills to communicate effectively with internal and external stakeholders.
  • Willingness to quickly switch between different tasks and the flexibility to handle ad hoc requests from the CEO.
  • Excellent time management and ability to prioritize in a dynamic work environment.
  • A proactive attitude and the ability to anticipate problems and propose solutions.
  • The ability to perform tasks independently and make decisions within given guidelines.
  • A willingness to collaborate with other team members and departments to support the goals of the CEO and the company
