How to Write a Letter of Resignation
You're leaving your work, then. Many of us have fantasies in which we scold everyone who has wronged us at the door. However, given how tiny the world is and the possibility that you might run into one of these coworkers at an event that is obviously not a smart idea.
The only way to stop is to do it elegantly and tastefully. And in order to accomplish that, you must formally announce your resignation with a letter.
No matter the employment, some people advise making it a habit to write resignation letters. It's a good gesture to thank your coworkers and employers, even if you only have a part-time job, and let them know that you want to quit and when.
How can you create a stellar resignation letter that solidifies your professional standing? How? Read on. But first, let's clear up a few points.
Email as opposed to paper
Given that we live in a digital age, why not write an email? Instead of sending a real letter the old-fashioned manner, you may send an email. But the best, most official way to resign is always to type a letter of resignation onto a paper copy. Additionally, you can bring it with you when you visit your supervisor to inform her of your departure.
The document trail might facilitate the transfer procedure for your business. Therefore, we advise you to save your emails for job queries and to write your resignation letter on paper only.
Let's look at what your resignation letter should and shouldn't contain right now.
Good Resignation Letter Components
Among other things, your letter needs to have the following to appear professional:
A Salutation
Even though it will go to HR, your boss should receive the letter. You don't have to be very formal and address them as Dear Mr. Smith if you often interact with them. It's acceptable to begin your letter with "Dear Sam." Avoid using the strangely formal To whoever it may concern or the incredibly informal Hey James.
Your purpose
Your letter must start with a statement of purpose. You need to be upfront, explicit, and clear about what you're doing rather than avoiding the subject. You're getting out of here. This is not a letter to encourage you to accept a counteroffer. Your choice to depart must be clearly expressed in your letter. I resign my employment as Assistant Baker. Begin the letter with a sentence that makes it obvious what your decision is and that you're making it.
Don't overwrite the document with unnecessary information, and avoid writing stuff like "I won't be coming in after March 15."
Where you are in the letter does not have to be mentioned. You can discuss that with your coworkers or your employer, if you'd like. But this is one detail that shouldn't be included in a resignation letter, especially if you're leaving for a rival company.
Your final working day
You must also state the date of your last day of employment. Depending on the rules at your place of employment, you could be required to give a minimum of two months' or two weeks' notice. You don't want this to be unclear in any way. As a result, if your last day is March 30 and you have to give two weeks' notice, include that information in your letter two weeks earlier.
Your manager will be able to begin the process of hiring, training, and generally preparing for change by mentioning the date in the letter.
You must state your last day of employment in plain, straightforward language.
I will no longer be the assistant baker as of March 30.
There is no requirement for extraneous lines like as As required by business standards, here is my notice.
Maintain a formal and graceful tone.
Even if you've had a negative work experience and don't particularly care for your manager or coworkers, your resignation letter is not the place to discuss it. It will be polite to say "thank you" to your supervisor and coworkers. Even if you had a great experience and want to share how your time working for the company changed your life, this is still true. Avoid going there. Keep your letter straightforward and formal. Thank you so much for the opportunity to work with and develop as a member of the kitchen at XYZ Bakery, is a suitable compliment to the business.
Before leaving, you will have plenty of opportunity to air your issues; but, there is no benefit to doing so in your resignation letter.
Your Transitional Plans
A decent professional resignation letter will also include a consolation to reassure the firm that you won't abandon them. Mention that you are available to assist during the changeover clearly. Sayings like, "I will be available to train a successor," are not appropriate. That's too nebulous. Be specific, as in
I would like to work with you on any necessary transition tasks over the next two weeks as I wind up my time here.
Don't use ambiguous language. Additionally, avoid claiming that you will be too busy to assist the organization with its transformation. That is unprofessional and can come back to haunt you if you require a letter of recommendation from your employer in the future.
Last but not least, close your letter with a formal, polite phrase like Sincerely or Best Regards. There is no need to end the conversation in an overly sentimental or formal manner.
As you finish your current journey, here is an excellent resignation letter sample to help you start your new one.
Dear Smith,
Accept this letter as formal notification of my resignation from the position of Assistant Baker. The 30th of March will be my last working day.
It was challenging to decide to leave to pursue other opportunities because working here has been a tremendous opportunity. I want to thank you for being my supervisor and mentor during the past five years that I've worked here. I've gained a lot of knowledge from this place and am confident in the company's future success.
I would want to assist you with any training or transitional tasks that may be required during my two months here.
Once more, I'm grateful for the chance to work with this group of people.
Sincerely,
James
